Generating and Saving a Meeting Transcript

There are two ways to generate and save a transcript from a Zoom meeting:

  1. Record the meeting to the Zoom cloud (automatic transcript)
  2. Use Zoom’s live closed captioning and save the transcript manually
Record to the Cloud (Automatic Transcript)

If you record your meeting to the Zoom cloud, your video will automatically be copied into YuJa, where you can generate a transcript. This is the best option if you want a transcript without having to remember to save it manually.

How It Works:

  1. Start your Zoom meeting
  2. Click Record → Record to the Cloud
  3. End the meeting as usual

Accessing the Transcript

After the meeting ends, your Zoom cloud recording will automatically be copied to YuJa. It is important that your video is imported into YuJa because Zoom deletes cloud recordings after 20 days.

You will receive an email from Zoom when your cloud recording is ready, followed by an email from YuJa once the video has been successfully imported into your account. Recordings can sometimes take up to 24 hours to arrive in YuJa, especially if they are particularly long or uploaded during high-traffic times.

Important Note:

Captions from Zoom do not carry over to YuJa. To obtain the transcript from YuJa, you must add or request captions directly within YuJa. Once captions are available, you can then save your transcript.

Use Closed Captioning (Manual Save Required)

You can also generate a transcript using Zoom’s live closed captioning feature. This is the best option if you don’t want - or aren’t comfortable - recording the meeting, and you only want to capture what is said during the session. This method requires you to save the transcript before ending the meeting.

Steps:

  1. Start your Zoom meeting
  2. Click More (⋯) in the meeting toolbar
  3. Select Show captions
  4. Speak as usual, and Zoom will generate live captions
  5. When the meeting is over, click View full transcript
  6. Click Save transcript at the bottom of the window

If you forget to save the transcript before ending the meeting, there is no way to recover it. Be sure to save it before closing the Zoom call.

A short video walkthrough is available below or by clicking here. The video does not include audio or narration, but it clearly shows where to click in Zoom to enable captions and save the transcript.
