Overview
This policy outlines the terms and conditions governing technology account access for William James College alumni following graduation. It defines the duration of account access, the services available during the alumni access period, account expiration and data retention timelines, re-enrollment provisions, acceptable use requirements, and available support services.
1. Alumni Email and Account Access
Graduates may continue to access their William James College (WJC) account, including their WJC email, for 12 months following their official graduation date.
This access is provided as a transitional courtesy and is subject to institutional licensing, operational, and security requirements.
At the conclusion of the 12-month access period:
- The alumni account will expire and be disabled.
- Access to Microsoft 365 services, including Outlook, OneDrive, Teams, and Microsoft Office desktop applications, will end.
Following expiration, alumni accounts are retained by the WJC IT Office for an additional 12 months. During this retention period, the account and its data are preserved but are not accessible to the alumnus.
At the end of the retention period:
- The alumni account will be permanently deleted.
- All associated data will be permanently removed and cannot be recovered.
Alumni are responsible for exporting or transferring any personal files, emails, and other data before their account expires.
2. Additional Service Expiration
The following services also expire 12 months after the official graduation date:
- Remote access to Library resources
- Antivirus software and other complimentary software provided by the College
- Online academic services, including Ares and Canvas
After remote library access expires, alumni may continue to access select library resources by visiting the WJC Library Computer Lab. Temporary login credentials are available from the Library Circulation Desk.
3. Re-enrollment
If an alumnus returns to William James College as a student during the account retention period, the existing account may be reactivated or a new student account may be issued at the discretion of the WJC IT Office.
4. Acceptable Use
Use of alumni accounts during the active access period remains subject to all William James College technology and acceptable use policies.
The College reserves the right to suspend, disable, or permanently remove an alumni account at any time due to policy violations, security concerns, licensing changes, or other institutional requirements.
5. Support and Password Assistance
During the 12-month alumni access period, password resets must be completed through the WJC IT Helpdesk. Self-service password reset is not available for alumni accounts. If you need to have your password reset please call 617-327-6777 ext. 1600 during regular business hours.
